Regulations for payment and refund procedures in the recruitment process for higher education studies, managed by the Internet Registration System for Candidates of the University of Warmia and Mazury in Olsztyn:

  1. The Internet Registration System for Candidates (hereinafter referred to as IRK) available at https://irk.uwm.edu.pl belongs to the University of Warmia and Mazury in Olsztyn, ul. M. Oczapowskiego 2, 10-719 Olsztyn, NIP: 739-30-33-097, REGON: 510884205.
  2. The Candidate for studies at the University of Warmia and Mazury in Olsztyn creates an account in IRK only once, regardless of the number of majors for which the Candidate intends to register.
  3. To properly create a Candidate's account, it is necessary to enter all required data and information and fill in all required fields. Registration for individual majors may require providing additional data.
  4. After creating an account, the Candidate gains the ability to log in multiple times using the username and password established during account creation.
  5. The University of Warmia and Mazury in Olsztyn is not responsible for the Candidate sharing their login and password with third parties and for unauthorized access to the IRK account by anyone other than the Candidate. Any changes made to the data on the Candidate's individual account by an unauthorized person are considered changes made by the Candidate.
  6. For security reasons, three incorrect login attempts result in the blocking of the Candidate's individual account. The Candidate can independently recover a forgotten or lost password through the "password recovery" option. Setting a new password requires providing information required by the system.
  7. Providing (entering) all required data (information) by the Candidate and paying and recording the registration fee are conditions for participating in the recruitment for the selected major. Incorrectly providing required information, for which the Candidate is responsible, burdens the Candidate and may result in improper qualification or refusal of admission to studies.
  8. Correction of incorrectly provided information by the Candidate on the individual account, for which the Candidate is responsible for editing, is possible until the end of registration for the selected major.
  9. The recruitment rules, including qualifying subjects, point calculation method, exam procedures, etc., are defined by the Resolution of the Senate of the University of Warmia and Mazury in Olsztyn concerning the establishment of conditions, procedure, and timing for the recruitment of candidates for the first year of higher education studies for a given academic year.
  10. After creating an account and completing all required registration-related actions, the Candidate selects a major available in the current recruitment round. Enrolling in a major incurs the registration fee for that major.
  11. The registration fee must be paid into the individual account number provided during registration for studies in the IRK system. Subsequently, the Candidate is obligated to make the registration fee payment through the online payment system or by bank transfer within the deadline specified in the recruitment schedule.
  12. The amount of the registration fee depends on the major for which registration is made and is visible in IRK after enrolling in the selected major.
  13. Candidates registering for multiple majors must pay separate fees for each of them. The total amount of the registration fee is the sum of the fees that the Candidate is obliged to pay due to registering for selected majors.
  14. Failure to pay the fee or failure to register for a particular major precludes the Candidate from participating in the recruitment process.
  15. The Candidate makes payments in Polish złoty (PLN). In the case of payments in another currency, it will be automatically converted into Polish currency.
  16. After making the payment and its registration in the Candidate's personal registration account, a confirmation of payment will appear - the status "Paid".
  17. The Candidate is obliged to verify the correctness of the fee payment and the priority settings for assigning the registration fee to the selected major(s). If the fee paid is less than the number of registrations made for studies, the registration fee will be allocated in the order of registration, unless the Candidate independently specifies otherwise during registration.
  18. Withdrawing from a major and "releasing the fee" is possible until the end of registration as indicated in the recruitment schedule.
  19. Registration fees paid by the Candidate are non-refundable, except in the following cases:
    • Non-activation of the major due to an insufficient number of candidates.
    • Overpayment on the Candidate's account, i.e., registration for fewer majors than the amount paid.
    • The Candidate was not considered in the qualification process due to paying and recording the fee after the deadline specified in the recruitment schedule.
  20. Refund of the registration fee is made upon the Candidate's request, signed by hand, sent by traditional mail to the Office for Student Affairs of UWM in Olsztyn or submitted via ePUAP/Electronic Mailbox of the University of Warmia and Mazury in Olsztyn or by sending a scan of the application through a message from the individual account in the IRK system with the title "Registration Fee Refund", subject to paragraph 23.
  21. The application should include identifying data of the Candidate, including the Candidate's identification number - IRK ID, account number for the refund transfer, and the name and surname of the account holder designated for the refund. The application form is available on the website of the University of Warmia and Mazury in Olsztyn: https://uwm.edu.pl/kandydaci/oplata-rekrutacyjna
  22. The application for a registration fee refund should be submitted by the Candidate no later than October 30th - for summer recruitment, or by March 30th for mid-year recruitment. After these dates, it will not be possible to obtain a refund of the fee.
  23. In the event of non-activation of the major due to an insufficient number of candidates and non-use of the fee by the Candidate for another major, the registration fees paid will be refunded by the University of Warmia and Mazury in Olsztyn automatically, within the deadlines specified in paragraph 22, as data necessary for the refund becomes available.
  24. The registration fee is non-refundable in the following cases:
